Here is the import spreadsheet where you can bulk import your equipment. This is an example of what some of the data will look like in the green section up here. Make sure you fill out what’s in the gray columns. They are compulsory.

They must be filled out. Otherwise, it weren’t important to the system. When you put something into a cell, it will turn green when it’s good. If you put something into a cell and it turns red, there is something in there that shouldn’t be in there or some of the information is wrong.

In this case, there’s a square bracket, so we’ll get rid of that, and then that’s fine. So the rest most of it’s pretty self explanatory.

Unit of measure is obviously kilometers. This is your odometer unit of measurement, so it’s usually kilometers or hours for us in Australia.

Equipment mode is where you get your on road and off road or some other subcategories for your tax rebate.

If you’ve got bulk tanks and pods, set your pods up as storage.

That way, the fuel that goes from your bulk tank into your pod will be calculated separately through this storage section.

Equipment cost center can be handy. It’s a good way to split up the equipment ownership. So if you are a company that has multiple subsidiaries or there’s multiple businesses underneath you or you hire a lot of contractors equipment, you would put the business entity that owns that equipment into the call center. It’s a handy way of making sure you can filter out the usage for that business entity later on separate to your main business.

Compartment, this is the fuel tank on the actual asset, not to be mixed up with the tank that you dispense fuel from. These are called compartments.

Compartment preset. If you want Fuellox to stop dispensing fuel at a particular volume, you set that in here. So let’s just say you wanted to stop at eighty liters, you would set it to true. And once it pumps to eighty liters, it will stop. And the last thing is odometer. If you want your staff to track the odometer at every dispense, set that to true, and they must put in the odometer. Otherwise, they won’t be able to interact with the pump.
